Seeking an Administrative & Office Coordinator (also known as a First Impressions Coordinator, Front Desk Coordinator, or Office Administrator) to create a welcoming, organized, and engaging environment for employees, clients, and visitors.

This is more than a front desk role-it's a high-visibility position where you'll combine customer service, office coordination, administrative support, and event planning to keep the corporate office running smoothly and professionally.


What You'll Do

  • Serve as the primary front desk representative, greeting visitors, clients, and vendors while creating a warm, professional first impression
  • Answer, screen, and direct calls using a multi-line phone system with efficiency and professionalism
  • Manage daily front office operations, ensuring the reception area and shared spaces are clean, organized, and welcoming
  • Handle incoming and outgoing mail, packages, and deliveries
  • Provide administrative support including scanning, filing, document management, and handling confidential information
  • Coordinate and maintain conference room schedules, ensuring spaces are stocked, organized, and meeting-ready
  • Order, track, and manage office supplies, inventory, and company-branded materials
  • Support internal communications, including newsletters, announcements, and company updates
  • Oversee the company store, including product selection and vendor coordination
  • Act as a liaison between employees and vendors, ensuring smooth communication and service
  • Assist with meeting logistics, event planning, and execution, including internal events, tradeshows, and office initiatives
  • Contribute to a positive employee experience and workplace culture by maintaining an organized, engaging office environment
  • Provide cross-functional support to multiple departments with a proactive, customer-first mindset

What We're Looking For

Required Qualifications

  • 2+ years of experience in reception, front desk, office coordinator, administrative assistant, or customer service roles
  • Strong communication, interpersonal, and customer service skills
  • Ability to multitask, prioritize, and stay organized in a fast-paced environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
  • High attention to detail with a proactive, problem-solving mindset
  • Takes pride in delivering a strong office experience
  • Takes inititive and anticipates needs
  • Builds relationships and supports teams

Preferred Experience

  • Experience with office management, workplace coordination, or hospitality
  • Familiarity with Canva, Adobe, or internal communications tools
  • Event coordination, vendor management, or employee engagement programs
